Position Summary:

A vacancy exists in the above unit for a highly motivated Administration Team Leader with appropriate knowledge and skills to join our friendly and supportive team. This position is expected to:

  • Manage the Customer Service Administration Team rostering across the Theranostics and Nuclear Medicine Department, responsible for coordinating staff in order to prioritise duties as required and to ensure adequate staffing levels, training and processes.
  • Review Registrations & Booking Phone Management processes to streamline process.
  • Responsible for training new Customer Service Officer (Registrations and Bookings) staff for reception duties.
  • To ensure all administration staff follow the Department Billing Pathway and Customer Service guidelines including registrations, billings, and bookings procedures.
  • Is responsible for the maintenance, troubleshooting, updating, regular processing and auditing on the Radiology Information System (RIS).
  • Lead administration staff in the Performance Review Process and assist in performance management of the Customer Service Officers (Registrations and Bookings).
  • Ensure the provision of an excellent customer service and assist with any related requests while managing patient expectations.
  • To ensure patient education materials are available (including current brochures in waiting room and web page is up to date).
  • Liaise with the department senior management to review and update administration processes for each service and advise of patient lead times from request to appointment.
  • Build and maintain relationships with external Doctors to maintain billable referring patterns.
  • Manage the adherence to respective Bookings Pathways and Patient Communication Scripts.
  • Keep the department senior management aware of requests to waive patient fees in accordance with Department policy and/or SVHS Delegations Manual.
  • Manage the adherence to administration staff handover procedures, such as the logging and notification in scheduling notes. Handover to include MRN creation, capture Medicare details, ensure patient expectation clearly set (billing, Medicare eligibility if applicable, Financial Consent Form, Safety questionnaire, preparation required etc.)
  • Maintain and manage the administration staff’s competency in operating Hospital and Departmental computer systems including, CorePAS Karisma, e-matters, Kronos, Workday, Web de Lacey, SVHS intranet, MS Excel/Word and other systems as required to meet the requirements of the role.
  • Correctly classify patients to ensure they are accurately registered in RIS (Karisma) and the Hospital CorePAS which feed into other hospital systems. Ensuring Casemix, Health Round Table, Medical Records and Finance data returns are accurate and robust.
  • To review data entry into Karisma, identify omissions and discrepancies and advise staff, maintain a high level of attention to detail.
  • Patient Safety - obtain relevant documentation, correspondence, required for patients and medical officers, where required.
  • Work under limited direction and guidance in regard to work priorities in delivering to deadlines while maintaining accuracy in a high volume environment.
  • Assist in quality improvement activities to improve the effectiveness and efficiency of the department.
  • Prepare 6-monthly reports on own quality activities undertaken in conjunction with projects timeline.
  • Assist the Department Manager with relevant tasks and projects.
  • Attend the Theranostics and Nuclear Medicine Department staff meetings as required.
  • Ensure Medicare DB4 is explained and completed; ensure all staff are following this process.
  • Use of e-matters for pre-payments as a priority over post-service payment and EFTPOS machine.
